AP / AR Specialist
Location: Concord, CA - 100% On-Site
Type: Full-Time, Temp-to-Hire
Salary: $65,000-$80,000 annually
Industry Requirement: Construction experience required
A well-established construction organization in Concord is looking for an experienced AP / AR Specialist to support project accounting, billing, and financial operations. This role is ideal for someone who enjoys working in a project-driven environment and has a strong grasp of construction-specific accounting workflows.
Key Responsibilities
- Set up new jobs within project and accounting systems, including cost structures, receivables, and subcontractor payables
- Enter estimated costs by phase and ensure project setups align with contract terms
- Prepare and verify Extra Work billing and ensure documentation accuracy across multiple systems
- Review project subcontracts and purchase orders to confirm correct pricing, scope, and coding
- Understand and follow construction lien notice and release requirements
- Produce monthly customer invoices and support project managers with billing documentation
- Monitor pending change orders, update the accounting system, and communicate status to project teams
- Compare subcontractor pay applications with project pay estimates; process payables and authorize approved invoices
- Review and distribute Extra Work and time-and-materials invoices
- Actively manage collection efforts for overdue receivables
- Provide regular financial reports to project managers, including job cost summaries, AR/AP updates, and profit/loss snapshots
- Support project close-out activities and ensure all final documentation is complete
- Oversee and mentor Project Assistants as needed
Qualifications
- Minimum of 3 years' experience in a construction accounting or contract administration role
- Bachelor's degree in Accounting, Business Administration, or related field
- Strong understanding of construction billing practices, project accounting, and lien compliance
- Ability to work in a fast-paced, deadline-driven environment with high accuracy
